Rules and Regulations

MEMBERSHIP

Membership shall be defined as a person who attends a game of the Glasgow Vampire LARP, and pays the entrance fee for that game. Each membership shall be valid until the player has missed 4 consecutive monthly game sessions. At that point no further in game correspondence will be entered into until that person returns to a monthly game session. For the period of a year after that person has stopped attending the game, the Larp Committee will inform the player of any upcoming AGM's or EGM's. If a Player does not appear at a game meeting for longer than 12 months, he or she will be removed from any further GV Larp correspondence and not be considered a member for any purposes.

The Larp Committee can remove any person from the membership for a serious breach of the regulations or conduct unbecoming to a member of the GV Larp. This can lead to a life ban from the game. This must be agreed upon by a majority of the Larp Committee.

The Larp Committee may refuse anyone membership or entry to the game for any reason.

CONDUCT

All Members must abide by certain rules of personal conduct. These are:

  • That there shall be no violent contact between players (or Storytellers). Violent conduct is not allowed, and can lead to the removal of a player from the venue and possible removal from the membership list and a ban from entering the game.
  • No one person shall speak for the GV Larp to the media. The Larp Committee, specifically the PR Officer shall handle all media exposure. The entire Larp Committee shall discuss all media contact & releases. If this is not feasible, for example in the event of a photo shoot or quick contact, the member shall require the permission of two separate members of the Committee.
  • No person shall be contacted out of game, unless they give their permission for it. The Larp Committee will not divulge any personal details at all, without permission, or in the event of close friends losing personal details.
  • The game deals with matters of an adult nature and as such, people may be offended by such matters. We seek a balanced game and we hope people will not be offended, but we ask that people ensure that certain matters of personal religion, politics or sexual orientation are not openly commented upon. We all know that politics, religion & sexual orientation can be touchy subjects, so please remember that people may be offended by what you consider fun.
  • We do not condone, nor authorise; blood drinking, blood games and anyone involved in blood fetishistic activities at all. These matters are in game and should not be brought into reality. What you do in your own home is your own preferences. Please do not bring it into the game.
WEAPONS

We realise that weapons of all sorts are involved in the game, but please do not bring "live" weapons of any sort to the game. Anyone involved in having such a live weapon will be reported to the Police. We do ask that you do bring "physical representations" of weapons that your character has, but please act responsibly in carrying these "physical representations" to and from the game. We do not wish the game to be brought into disrepute because you tried to carry a toy gun inside your jacket or handbag.

MONEY

Every game player will be expected to pay an entrance fee to cover costs of the game. Everyone, including Storytellers, will have to pay an entrance fee. Accounts will be made available on request for viewing by a member. A copy of the accounts will be published every year at the AGM. Monies will not be spent unless the majority of the Larp Committee agree. All donations will be gratefully accepted and be noted in the accounts.

LARP COMMITTEE

There shall be approximately seven positions within the entire Committee.

These are:

Lead Storyteller
This person shall be responsible for the plots and storylines within the game. They shall also be responsible for invigilation on the night of each meeting and should be in charge of all invigilators. They are also responsible for the rules system. This person's word is law on the night of the game.
Assistant Storytellers (*2)
Responsible for invigilation on the night of the game. Also contributes to storylines & plots. When asked for a rules clarification, a storyteller has the definitive answer and cannot be argued with.
Public Relations Officer
Responsible for dealing with the media & promoting of the game. Should liase with other groups to bring in new players and raise the profile of the game. Also, liasing with Computer Support Officer to design & keep up to date on the web site.
Computer Support Officer
Responsible for computer support. Liasing with PR Officer for publishing web site, handling all e-mails and managing the mailing list.
Secretary
Responsible for informing relevant parties of dates and location of Committee meetings, AGM's, etc. Also as an aid to help players to facilitate meeting between players who do not otherwise know each other.
Chairperson
Responsible for chairing all meetings and assuring they do not become out of hand.
Player Liaison
The first line of approach for any player that has a grievance with any member of the committee.
Treasurer
Responsible for handling monies and publishing accounts.

All of the Committee handle how the game will proceed in the future. Plots, Storylines & granting of XP are solely the domain of the Storytellers. No One person can hold more than 2 of the above positions thus meaning a minimum of 4 persons on the Committee at any one time.

ANNUAL GENERAL MEETINGS

Every year on the first Saturday after the August Larp there shall be an AGM held. This meeting shall address complaints, new ideas and new members of the Larp Committee. At this meeting, an election will take place, each member of the Committee shall stand for re-election and if 50% of the existing members vote to keep that member, he/she shall remain in the post. If less than 50% vote for them, they shall stand down and an election held to elect a replacement. Business members wish to raise at the AGM, should be presented to the Chairperson on or by the August Larp.

EXTRAORDINARY GENERAL MEETINGS

An EGM shall be called if any member of the Larp Committee resigns or is removed for any reason and a replacement needs to be elected. They can also be called by the Chairperson if they receive a complaint they deem of sufficient merit against a member of the committee. Every member of the Larp shall receive notification of when the EGM shall be held & where.

EXTRAORDINARY GENERAL MEETINGS

If a member of the Larp Committee has to be removed for any reason, there are three ways of carrying this out. If 75% of the Larp Committee agree, a person can be removed from any position, thus an EGM needs to be called to elect someone to that position, and to give a reason. Secondly if 50% of the current membership at any meeting decides that a member of the Larp Committee needs to be removed, then an EGM is called & a vote is held to remove that Committee member, with a vote of 65% needed to remove that person. Thirdly if an individual complaint is deemed of sufficient merit by the Chairperson then an EGM shall be called to allow both sides to air their grievances, if accommodations cannot be made then it will be put to the vote again with a 65% majority required to remove a Committee member.

A committee member may also choose to remove themselves from the committee by giving their written letter of resignation to the Chairperson or the Secretary giving there 14 days notice of resignation.

In addition a committee member will have deemed to have resigned if they have not attended three consecutive committee meetings without apologies.
